3. Cookies
Our website uses a small number of cookies set by our website platform, Wix. These support session management, security, and core site functionality.
We do not use advertising cookies, and we do not use third-party analytics or tracking technologies that follow visitors across other websites. We therefore do not ask for cookie consent. You can configure your browser to refuse cookies, though parts of the site may not function properly if you do.
4. How we share your information
We do not sell your personal information, and we do not share it for advertising purposes.
We share personal information only in the following circumstances.
Service providers. Our website, subscriber list, and email delivery are operated on our behalf by Wix.com Ltd. Wix processes this information under our instructions and is contractually bound to protect it. Where we engage other service providers, they are subject to equivalent obligations.
Professional advisers. We may share information with our legal, accounting, or other professional advisers where necessary and subject to confidentiality obligations.
Legal requirements. We may disclose information where required by law, court order, or governmental authority, or where necessary to protect our legal rights or the safety of any person.
5. International transfers
The Council is based in the United States, and our service providers may process information in the United States and other countries. If you are located in the European Economic Area or the United Kingdom, this means your information may be transferred outside your home jurisdiction, where data protection law may differ.
Where we transfer personal information from the European Economic Area or the United Kingdom, we rely on appropriate safeguards, including standard contractual clauses approved by the European Commission and the United Kingdom, to ensure your information receives an equivalent level of protection.
6. How long we keep your information
We keep subscriber names and email addresses until you unsubscribe or ask us to delete them, and for a short period afterwards so that we can honour your request.
We keep applications for fellowships, internships, and other opportunities for up to two years from the date of application, unless you ask us to delete them sooner.
We keep submissions accepted for publication indefinitely, as part of our published record. Submissions that are not accepted are kept for up to twelve months.
We keep correspondence for up to three years.
Technical records of website visits are retained by our website platform in the ordinary course, typically for a limited period.
Where we are required to retain information for longer to comply with a legal obligation, we will do so.

To exercise any of these rights, write to info@cilos.org. We will respond within one month. We may need to verify your identity before acting on a request.
If you believe we have not handled your information properly, you have the right to complain to your national data protection authority. We would be grateful for the opportunity to address your concern first.
